Thank you for your interest in participating in the Woodward Cave Farmers Market (herein The Market). Please review the following carefully. These terms must be accepted for participation in the 2026 Farmers Market. All terms are subject to change at the sole discretion of Woodward Cave & Campground (WCC)

PARTICIPATION

Vendor participation and approval is at the sole discretion of WCC. At any time, approval may be withdrawn, and further participation denied without recourse.

Acceptance and Fees

An application must be completed by the vendor and submitted to WCC. WCC will keep a copy of all applications on file and we encourage you to keep a copy for your records as well. This application is required for all vendors to participate in the farmers market. This is to ensure your space is reserved.

Weekly table fees for vendors are $10.00 for each 10×10 vendor space. Fees are $30.00 for food trucks. Fees are made payable directly to Woodward Cave via cash or credit card and must be made before the start of the farmers market event.

RULES AND REGULATIONS

Attendance

Vendors are required to be present on all dates for which they are accepted. No refunds will be issued, and no make-good slots will be provided for vendor cancellations. Failure to provide advance notification for an absence or more than two (2) absences in one season may result in removal from the Market. The Market is held rain or shine; inclement weather is not considered an acceptable excuse for Market absence.

Setup, Operating Hours, Tear Down

Market operating hours are 10:00 a.m. to 2:00 p.m. Vendor setup begins at 9:00 a.m. and must be completed by 10:00 a.m. Tear down begins at 2:00 p.m, though optional extended hours are available if market attendance is high.  Early tear down is not permitted unless explicitly approved by WCC staff.

Parking

Vendors will be provided access to designated parking for their vehicles during market hours. Location will be assigned by WCC and may vary, but will be adjacent to the farmers market area for ease of access. All parking details are subject to change.

Farmers Market Location

The Farmers Market is located adjacent to the main parking lot of Woodward Cave and Campground, in immediate vicinity to pedestrian foot traffic and in a high-visibility area at the entrance of the property. The exact location of the Farmers Market is at the sole discretion of WCC and is subject to change if deemed necessary.

Vendor Locations

WCC determines the assigned location of each Vendor within the market. Locations are subject to change at any time at WCC’s discretion. WCC will make a good-faith effort to work with vendors to place them in their desired location, but vendor’s location is in no way guaranteed regardless of request, precedent, or history.

Tents

Vendors are required to provide their own tent and all equipment necessary to their operation. Tent size is limited to your rental size. Please be respectful of other other vendors in judging the size and setup needs of your tent.

Weights/Anchors

It is mandatory that Vendors provide tent weights. Tents must always be anchored on each leg with at least 40lbs (160 lbs total weight). Vendors will not be permitted to set up without proper weights.

Displays and Signage

Vendors must keep all products, displays, signage, storage, etc. within their allotted footprint. Vendors are not permitted any signage (free standing, A-frames, flag banners, etc.) that extends beyond the footprint OR exceeds the height of their tent. Exceptions may be considered with approval by WCC.

Vendor Classification

Foods that Pennsylvania Health Departments consider potentially hazardous require proper permitting and licensing. A category and description of what is considered potentially hazardous is below. This is for your reference only. It is the sole responsibility of the vendor to be in good standing with all necessary permits and licenses required to sell in Pennsylvania and in Centre County.

● Unpackaged and Prepared Food Vendors: Food that is considered unpackaged includes but is not limited to baked goods that are sold loose/unwrapped (cake, cookies, bread, bulk candy, etc.). Prepared Food includes but is not limited to ready-to-eat food for immediate consumption such as found in a cafe or restaurant. In both cases, these are considered potentially hazardous and a Temporary or Permanent Retail Food Facility License is required to sell at the Market.

● Meat, Dairy, Eggs: Food that is considered prepackaged meat, prepackaged cheese and milk, and all eggs are considered potentially hazardous and a Temporary or Permanent Retail Food Facility License is required to sell at the Market.

● Raw Agricultural Products: These are generally considered fruits and vegetables from the farm that have not been processed. harvested greens such as lettuce and spinach are not considered processed whereas cut fruit (such as melon slices) is considered processed. Raw Agricultural Products are not considered potentially hazardous, and do not require a Temporary or Permanent Retail Food Facility License to sell at the market.

● Pre-Packaged Food: These may include wrapped baked goods, jams, packaged candy, canned pickled products, apple cider, honey products, maple syrup, etc. These are not considered potentially hazardous, and do not require a Temporary or Permanent Retail Food Facility License to sell at the market.

● Merchandise Vendors: All merchandise must be approved by WCC. WCC reserves the right to deny approval and require removal of any items deemed, at their sole discretion, inappropriate onsite.

Suggestively explicit products are strictly prohibited. Exclusives are not guaranteed to any Vendor.

MLMs and Local sales consultants of national brands will not be accepted into the Market.

● Alcohol Vendors: Alcohol Vendors are subject to any and all policies set forth by the Pennsylvania Liquor Control Board. WCC reserves the right to limit sample size & number of samples per guest and will enforce mandatory age restrictive signage for Vendor booths. See Alcohol Vendor Requirements and Regulations for specific guidelines. Alcohol Vendors must provide a valid Liquor License, Farmer’s Market Permit and agree to Alcohol Vendor Requirements and Regulations.

Products and Merchandise

WCC reserves the right to approve all products and merchandise in advance and further reserves the right to require removal of any items deemed, at WCC’s sole discretion, inappropriate, inferior or inconsistent with the merchandise listed on the Vendor’s approved application. WCC may request proof of origin for any product, and deny sale of any items not produced within 200 miles of Centre County. Vendors found to be falsifying the origin of products may be subject to dismissal from the farmers market with no refunds.

Exclusives are not guaranteed to any vendor. If a vendor is selling products or merchandise that is classified in a higher vendor category then they may be subject to be charged for the higher category.

Electricity

Access to electricity is not guaranteed; requests are subject to approval and must be made during the application process. Vendors are required to bring their own extension cords and adhere to safety and ADA requirements. Cords must be taped securely to the ground. Any pedestrian injuries arising from Vendor extension cords are the sole responsibility of the Vendor/insurer.

Trash

Vendors are responsible for disposing of their own trash. Trash must be deposited at adjacent dumpsters and must not be left in the farmers market area, in Vendor booth space, or in the surrounding cave and camp property. Additional fees will be charged if trash is not removed.

Cooking oil is not to be disposed of onsite. Vendors may not dump any wastewater on the ground or into drainage systems.

Health & Safety

WCC reserves the right to implement updated health and safety requirements subject to change in accordance with latest local, state, and federal guidance.

LEGAL & LIABILITY DISCLOSURE

Government Licenses and Taxes

Vendors are responsible for complying with all requirements and regulations necessary to conduct business in the Commonwealth of Pennsylvania, in Centre County, and in Haines Township. Vendors may be inspected at any time by government agencies.

Food Inspections and Permits

Vendors are subject to inspection at any time by local and state Health Department agencies.

It is the sole responsibility of the vendor to be in good standing with all necessary permits and licenses required to sell in Pennsylvania and in Centre County.

Vendor’s Indemnity

Vendor shall indemnify, defend, and save and hold WCC and their respective officers, employees, directors, representatives, agents or assigns of WCC, harmless from and against any and all claims, suits, actions, damages, liabilities or expenses (including actual attorney’s fees and costs) arising from or out of, or in any way related to or connected with the Vendor’s participation in the Woodward Cave Farmers Market or the use by the Vendor or its agents, employees, or contractors, guests, or invitees of the Woodward Cave Farmers Market.

Should Vendor default in payment or performance of any obligation of Vendor hereunder, Vendor agrees that WCC shall have, in addition to each and every remedy available at law or in equity, the following rights and remedies which may be exercised by WCC at its sole discretion and without prior notice to Vendor: the right to terminate Vendor’s participation in the Market; the right to seek specific enforcement of Vendor’s obligations under this Agreement; and the right to secure and remove any and all of Vendor’s property from the Market area, at WCC’s sole discretion and at Vendor’s expense.

Vendor Remedies

Vendor specifically waives any and all claims, suits, actions, damages, liabilities or other remedies arising from or out of, or in any way related to or connected with the Vendor’s participation in the Market or the use by the Vendor or its agents, employees, or contractors, guests, or invitees of the Market. WCC provides no guarantee of results of event to Vendor.

Force Majeure

WCC shall not be liable for any damage, cancellation, or modification of the Market under any circumstance, except as specified elsewhere in this document, including but not limited to conditions beyond their control (including but not limited to accidents, breakdowns, strikes, interruptions or failure of services, supplies, equipment, labor, energy or infrastructure, acts of war, terrorism or similar threats to security; or orders or decisions of any court or governmental body, authority or agency , or other causes) which make it impractical or inadvisable to hold the Market.
